How is Foundations different from Calendly or Google Calendar?

Foundations is built for personal trainers who work with clients over time, not just for finding a meeting time. You control scheduling, track session blocks, issue invoices, and manage clients in one place. Calendly helps people pick a slot; Foundations helps you run your PT business.

Can my clients book their own sessions?

No. Foundations keeps the workflow led by you. You schedule sessions, not your clients. For those who do want to let clients book their own sessions, we are working on a simple client portal that you can opt in to using.

Can I track packages or session blocks?

Yes. Attach blocks (e.g. 10 sessions) to a client, see how many sessions they've used, and see at a glance when they're running low.

Can I take payments through Foundations?

Absolutely. Clients pay you through a clean Stripe checkout link. Every session gets linked to a session block or an invoice, so you always know who's paid and who hasn't.

What are regular slots?

Regular slots let you define recurring weekly time slots for each client. They appear as placeholders in your calendar. When it's time to book, just click the slot and confirm. No need to fill in the form from scratch each time.

Do you support group sessions or classes?

Short answer: not ideally. A session is linked to an individual client. You could schedule multiple sessions at the same time (one per client in your group), but we appreciate this is not ideal. We plan to support group sessions in the future.

The Foundations Assistant lets you manage your business by chat. Schedule sessions, send invoices, check client info, and more, just by typing what you want to do.

How much does Foundations cost?

Foundations is completely free to use. There are no monthly fees. The only cost is a 0.7% platform fee on invoices paid through Foundations. That's just 70p on a £100 session.

Are there any hidden fees?

No. On invoices paid by your clients, you pay Stripe's standard processing fees for card payments, and the 0.7% Foundations platform fee. There are no other costs for using the platform.

Not yet. Foundations is currently limited to UK-based personal trainers and coaches. Tell us where you are and we'll expand where demand is strongest.

Does this work on mobile?

Yes. Foundations is fully responsive and works great on mobile. However, we do not currently have a dedicated mobile app.

Can I use Foundations just for scheduling without payments?

Yes, you can add clients and schedule sessions without connecting Stripe. However, session blocks (prepaid packages) require Stripe to be connected, since the block only activates once the client has paid. We'd recommend connecting Stripe to get the full benefit.

Is there a client portal?

No. Foundations keeps things led by you. Clients receive calendar invites and payment links via email; they don't need to log in anywhere.

What if my client doesn't receive the invoice email?

Ask them to check their spam or junk folder first. If it's not there, you can resend the invoice from the client's profile page in Foundations. If the problem persists, contact us at support@usefoundations.app.

Yes. We're built with GDPR in mind. Your data is stored in the UK and you retain full control of your client records.

Where is my data stored?

Your core app data is stored in the UK (AWS eu-west-2, London) via Neon, and our serverless backend also runs in London. Some specific data is processed by trusted partners (Stripe, Clerk, Resend, PostHog) who may store information in the EU or US. We choose providers that are GDPR-compliant and have strong privacy safeguards, and we minimise what we share.
