What are regular slots?
Most PTs see the same clients at the same time each week. Regular slots let you define those recurring time slots once, and they appear as placeholders in your calendar every week. When it's time to book, just click the slot and confirm. No need to fill in the full scheduling form from scratch.
How to set them up
- Click the three dots (⋮) at the end of the client's row in the clients table, or at the top of their profile page.
- Choose Manage regular slots.
- Pick the Day, Time and Duration.
- Click Add regular slot. The slot is saved straight away and will now appear in your calendar every week as a ghost event.
You can add multiple regular slots per client. For example, if a client trains with you on Mondays and Thursdays.
Booking from a slot
Regular slots appear as lighter-coloured events in your calendar. To book a session from a slot:
- Click the regular slot in your calendar.
- Review the pre-filled details (client, time, duration).
- Click Schedule to create the session.
The session is created instantly and the client receives a calendar invite, just like any other session.
Managing and editing slots
You can remove a regular slot at any time. Open the client's three dots (⋮) menu, choose Manage regular slots and click the bin icon next to the slot.
To change a client's regular day or time, drag the slot to its new time in your calendar on a computer (dragging isn't available on a phone), then click Save. The change shows in your calendar immediately. To change a slot's duration, delete it and add it again, or ask the assistant (see below).
Deleting a regular slot only removes the placeholder from your calendar. It doesn't affect any sessions that were already booked from that slot.
Using the assistant
You can also manage regular slots by messaging the Foundations assistant. For example:
- "Add a regular slot for Tom on Mondays at 9am, 60 minutes"
- "Move Sarah's Thursday slot to Fridays at 2pm"
- "Delete Tom's Monday slot"
The assistant adds and changes regular slots straight away, without a confirmation card. It shows you a confirmation card before deleting any.
