What it's for
Some studios and gyms sell you floor time in packs of hours that expire after a few months. Foundations counts those hours down as you book sessions there, so you always know how many you have left and when they run out. Each session uses its length, so a 90 minute session uses 1.5 hours.
Adding a studio
- Go to Settings and click Add a studio under Studios.
- Enter the studio's name and address. The address goes in the calendar invite for every session there.
- Enter the hours you have left there now and when they expire, taken from the studio's own count, then click Next.
- Choose who trains there: All my clients (including anyone you add later) or Some of my clients, then tick them.
You can change where a client usually trains at any time with Usually trains at when you edit them.
Which sessions use the hours
When you schedule a session with a client who trains at a studio, the Location starts at the studio's address, and the line under it says how many hours the session uses and how many you'll have left. If you change the Location to somewhere else, the session doesn't use the studio's hours.
Sessions use your hours as soon as they're booked, the same way a session block works. The hours that expire first are used first, and any left once they expire drop out of the count. You can still book if you've run out. The count shows how far over you are, and your next top up covers it.
When a client cancels
A cancelled session stops using your hours at the studio, unless it's a late cancel the studio still charges for.
For a session on a block, this follows Credit back to the session block. Leave it unticked for a late cancel, and the session still uses the studio's hours as well as the block session.
For a session that isn't on a block, tick Still count it at the studio (late cancel). No shows always use the hours.
Buying more hours
When you buy more, click Top up on the studio in Settings and enter the hours you bought and when they expire. You see the hours you'll have left before you save.
Checking against the studio's count
Sessions counted lists the hours you've bought, what's left of each, and every session that used them.
If your count doesn't match the studio's, click Correct the count and enter the hours the studio says you have left. Studios only count a session once it happens, so the sessions you've booked that are still to come are taken off their number.
